Substack for Business: Company and Agency Newsletters

By the newsletterapi team · Published · Updated · 5 min read

The problem: “Our company wants a Substack, but marketing needs the list in our CRM and the posts on our website, and Substack has no API for either.”

Short answer

Substack works for company and agency newsletters that are editorial rather than promotional: its Content Guidelines bar publications whose primary purpose is advertising, and brands may face extra verification. You get Admin, Contributor and Byline roles, a $50 custom domain, embeds and analytics pixels, and up to 10 publications per account, but no CRM integration, webhooks or SSO.

The problem

Companies and agencies like Substack's reader network and editor. The friction starts when the newsletter has to fit into the rest of the business:

"We use Substack as a lead gen tool for the consulting business." (Prasid, LinkedIn, 2025-04-01)

"Between the Substack CORS blocks and Substack blocking Azure addresses, where the corporate website is hosted, there isn't a decent way of share Substack post information with the corporate website." (r/Substack, 2025-09-08)

"Hey guys, I have a client and she is asking us to build a scenario that will unsubscribe people inside GHL once they unsubscribe from Substack." (Make Community, 2025-07-01)

Some operators leave over it. One real-estate publisher listed "No API, no webhooks, no Zapier integration, no SSO" when moving to Ghost (Brad Hargreaves, LinkedIn, 2025-09-03). Others stay and work around it. This guide sets out what Substack gives a business team as of October 2026, where the gaps are, and the workarounds that respect Substack's rules.

Is Substack allowed for company newsletters?

Yes, with one condition: the newsletter must be editorial. Substack's Content Guidelines, last updated September 29, 2026, say Substack "is intended for high quality editorial content, not conventional email marketing", and don't permit publications whose primary purpose is to "advertise external products or services, drive traffic to third party sites, distribute offers and promotions, enhance search engine optimization". They add: "Brands and commercial organizations publishing on Substack may be subject to additional verification."

Sponsored content is allowed. Substack says it doesn't have "any policies in place that prohibit publishers from doing so" (Substack Help).

In practice, a founder's letter, an industry analysis newsletter, or a research team's publication fits. A product-update or promotions list belongs in your marketing email tool.

How do team roles work on Substack?

Add people under Settings → Team → Invite. Each person gets a role (Substack Help):

Role Can do Can't do
Admin Full access to the publication and Settings n/a
Contributor View, edit and publish drafts in Posts Open Settings or Stats; see a post's Growth tab or revenue
Byline Appear as an author Access Posts or Settings

For a one-off guest, add them to a draft's byline. Guest authors "will be unable to make any edits or publish the draft" (Substack Help). The Stats tab can aggregate post performance by author, which helps multi-writer teams.

Two governance tips. Keep at least two Admins, so a departure doesn't lock you out. And give freelancers Contributor rather than Admin, because Admins see everything, including subscriber data and payments.

Should we use one publication, sections, or several publications?

  • Sections are additional newsletters inside one publication. Readers choose which ones they get, and each has its own URL under /s/ (Substack Help). Use them for a weekly digest plus a monthly deep dive from the same brand.
  • Separate publications suit separate brands. One account can create up to 10, and publications "can't be combined or merged together" (Substack Help). Each needs its own Stripe account if it takes payments (Substack Help).

Agencies: let the client create and own the publication and Stripe account, then invite your team. When the engagement ends, the client keeps the list and the revenue, and you simply remove your access.

How do we put Substack on our company domain and website?

  • Custom domain. A one-time $50 fee, set up by the owner or an admin with a CNAME on a subdomain such as www or newsletter. Verification can take up to 36 hours. Emails still come from yoursubdomain@substack.com (Substack Help). Full walkthrough: Substack custom domain.
  • Signup form. Settings → Growth features gives an iFrame embed that "is not customizable" (Substack Help). If marketing wants your own branded form, see using your own signup form.
  • Posts on the site. Each post and note has an Embed option under Share (Substack Help). For a "latest posts" block that your developers control, see embedding Substack posts on your website.

How do we measure what the newsletter brings in?

Substack's Settings → Analytics accepts a Google Analytics 4 ID, a Google Tag Manager container, a Meta pixel, an X pixel and Parse.ly (Substack Help). Tag your links with UTM parameters so campaign traffic shows up in GA4; see Substack attribution and UTM tracking and Meta pixel tracking.

If your publication is a Bestseller, Substack's official MCP lets an admin ask Claude or ChatGPT about subscribers, revenue and retention, read-only (Substack Help). Everyone else works from the export.

If customers want to buy seats for their staff, Substack's group subscriptions let a company buy seats for several readers, paying by card or ACH (Substack Help). Fees are 10% of subscription revenue plus Stripe's charges (Substack Help).

How do we get subscribers into our CRM?

There's no native CRM integration, no webhooks and no subscriber API as of October 2026. The supported route is your own data: Settings → Exports gives "your posts, subscriber list, and related statistics" (Substack Help). A weekly routine works:

  1. Export the subscriber CSV on a fixed day.
  2. Compare it with last week's file: new emails are new subscribers, missing ones have left.
  3. Import new subscribers into HubSpot, Kit or Salesforce, with a source property such as "Substack newsletter".
  4. Suppress the ones who left, so sales and marketing don't email people who unsubscribed.

Step-by-step guides: sync Substack subscribers to Kit or HubSpot and sync Substack unsubscribes to your CRM. Never go the other way by adding CRM contacts to Substack without consent; the Content Guidelines forbid adding people "without their consent". See adding subscribers to Substack for the legitimate options.

Where does newsletterapi fit for business teams?

newsletterapi covers the read side, without anyone sharing a Substack login:

  • Website: the Embeds API serves your latest posts as CORS-friendly JSON and widgets from our cache of your public RSS feed, so a corporate site, even one on Azure, calls us rather than Substack. A signed post.published webhook can trigger a site rebuild or a Slack alert.
  • CRM: the Analytics API compares the subscriber exports you upload and shows who joined, upgraded or left since last time, ready to send to your CRM. It runs in batches, so latency equals your export cadence.
  • Content reuse: the Posts API returns the archive as JSON or Markdown for a resources hub or sales enablement, and the MCP server gives your team's AI assistant read-only access to it.
  • Agencies: the Agency plan connects multiple publications, each connected by its owner (pricing).

Questions people ask

Can a business or brand have a Substack?
Yes, if it's editorial. Substack's Content Guidelines don't permit publications whose primary purpose is to advertise products, drive traffic to third-party sites, distribute promotions or boost SEO, and say brands and commercial organisations may be subject to additional verification. Sponsored content is allowed.
How do I give my team access to our Substack?
Settings → Team → Invite. Admins get full access including Settings; Contributors can view, edit and publish drafts but can't open Settings or Stats; Byline members appear as authors only.
Can an agency manage several client publications?
One Substack account can create up to 10 publications, but each publication needs its own Stripe account. For client work, it's usually cleaner for the client to own the publication and invite the agency as Admin or Contributor.
Can Substack sync subscribers to HubSpot or Salesforce?
Not natively, as of October 2026. Substack has no webhooks or subscriber API. The supported route is the subscriber export, imported or diffed into your CRM on a schedule.
Will our emails come from our company domain?
No. Substack says that even with a custom domain, emails are still sent from yoursubdomain@substack.com.
