How to Add Subscribers to Substack Without Getting Blocked
By the newsletterapi team · Published · Updated · 6 min read
The problem: “I get leads from ads and forms, but there's no way to get them into Substack without typing emails in by hand.”
Short answer
To add subscribers to Substack, go to Subscribers → Add subscribers and type emails or upload a .csv, .xlsx or .ods file. Everyone on the list must have explicitly opted in to hear from you: Substack screens imports, may hold a list for human review (usually within 72 hours) and denies lists of contacts or leads. For new people, use your /subscribe link or the embeddable signup form.
The problem
"SubStack has no API available that I can automate sending leads to via Zapier or Make." (r/Substack, January 2026)
"Even at this moment (after 2 years) it's not possible" (r/Substack, November 2024)
Getting subscribers in came up in 23 of the 111 public forum and review sources we coded: 13 from writers and 9 from operators or agencies. It's also the pain most often tied to money already being spent, such as ad budgets and assistants doing manual entry. Four of those sources push back on consent grounds, including a restricted import after a list that hadn't opted in. The fix below respects both sides.
There are only a few ways to get people onto a Substack list: type them in, upload a file, or let them subscribe themselves. The first two are reviewed, and the third is the one Substack trusts most. This guide covers each one, as of October 2026, along with the rules that decide whether your import goes through.
How do I add subscribers to Substack manually?
From Substack's help article:
- Open your publication dashboard and go to Subscribers.
- Click Add subscriber(s).
- Enter an email address and choose Add emails. If payments are on, pick free or trial first.
- Tick Send a welcome email if you want them to get your welcome message.
If you see "No valid emails found. This could be because an email previously unsubscribed", the person unsubscribed before. They have to come back and click Subscribe themselves.
Manually added and imported people may also need to verify before they get emails. Substack describes this as a setting that "prevents creators from adding an individual reader to an email list without their permission" (subscriber dashboard help).
How do I import a subscriber list (CSV) into Substack?
- Go to Subscribers → Add subscribers → Add subscribers by upload.
- Upload a
.csv,.xlsxor.odsfile of email addresses. Substack recommends one column of emails, because names are not imported (size limits). - Confirm the subscribers opted in. If payments are on, choose their subscription type; you can give imported paid readers a trial.
- Optionally tick Apply tags to imported subscribers to label the batch, for example "Workshop May 2026" (tags help).
- If you use sections, pick the section in the import settings.
- Click Import, then refresh to see how many emails were added or skipped. Duplicates and typo domains are skipped.
Substack links export instructions for Mailchimp, Ghost, Medium, Patreon, Beehiiv, ConvertKit, Flodesk, TinyLetter and MailerLite from the same article. If you're also moving your archive, see importing posts to Substack.
Why was my import held for review or denied?
Substack screens every list. Its import policy says that if its checks suggest "your email list contains recipients who have not explicitly opted in", your publication and list "may be flagged for review by our Standards & Enforcement team". The team "works hard to ensure your list is reviewed within 72 hours" (review help).
The rules are explicit:
- "We require that lists contain only those who have explicitly opted in to receiving messages from your publication."
- "Collections of contacts, leads, or other sources where all participants did not opt in are likely to be denied."
- "If we receive reports that a publication imported readers who had not opted in, we may take actions to restrict or disable publishing abilities."
Substack's Content Guidelines (updated 29 September 2026) add: "Don't add people to your mailing list without their consent, and don't import your contacts list or social graphs." They also say: "We don't allow imports of email addresses that were purchased, scraped, or harvested from third party websites."
This is enforced. An agency owner posted in September 2026: "My client had his ability to import csv files with subscribers restricted." (r/Substack). A writer said: "I got blocked when I added even 10 emails of my friends" (r/Substack).
To get approved faster: say where the list came from, and answer the optional questions, including the URL where readers opted in. If the list is old or mixed, email it from your current tool first and ask people to opt in to your Substack.
GDPR note: Substack says it is "ultimately the responsibility of a Publisher to ensure that they have a lawful basis" to import a list (GDPR help). Get legal advice for large EU lists.
What's the safest way to grow: the signup embed and /subscribe link?
When an import is denied, Substack's own advice is to "embed a manual signup form off-platform so we're certain your subscribers have opted in" (denial help).
| Option | Where to find it | Notes |
|---|---|---|
/subscribe link |
yourpub.substack.com/subscribe (works on custom domains) |
Asks unknown readers for their email, then shows your plans (help) |
| Embed signup form | Settings → Growth features → embed code | An iframe that works on WordPress, Squarespace and custom sites, but not on Medium. Not customisable (help) |
| Subscribe button in posts | Editor → Buttons → Subscribe now | For readers arriving from search or shares |
| Double opt-in | Settings → Emails → Require email address confirmation | Stronger consent evidence, but fewer people complete it (help) |

Can I connect lead forms, Kit or Facebook lead ads to Substack?
Not through an official API, webhook or Zapier app as of October 2026 (see Substack integrations). Operators have asked for years. One wrote: "Substack doesn't appear to be on Zapier, so are there any workarounds for automating someone signing up for the newsletter through our native Webflow form and adding them to Substack?" (r/Substack, May 2026). The workarounds people describe are manual: "once a day I check ConvertKit and download the new subscribers and add them to my Substack" (r/Substack).
Patterns that stay within the rules:
- Hand-off. Your form's thank-you step sends the person to your
/subscribepage or shows the embed, and they click Subscribe themselves. - Opt-in wording plus a batched import. If a form collects emails, say on the form that people are subscribing to your Substack newsletter. Keep the consent text and timestamp. Import in small batches with a tag, and give the opt-in URL when asked.
- Lead ads. Use a lead form whose consent line names your newsletter, then follow pattern 2. Leads collected for something else (a giveaway, a webinar) are "leads", which Substack says are likely to be denied.
Do Facebook ads work for growing a Substack?
Some writers say yes. One reported: "I get subscribers to my Substack from Facebook ads for right around $1 each." (r/Substack, April 2026). That is one person's figure, not a benchmark. To measure your own:
- Paste your Meta pixel ID into Settings → Analytics. Substack says the pixel "reports when someone who clicked one of your Facebook or Instagram ads takes an action on your publication—for example, subscribing" (Analytics help).
- Send ad traffic to your
/subscribepage or a landing page with the embed, so the reader opts in directly. - Expect thin signal. One writer said "Substack shares very little information with its facebook pixel." (r/Substack). Another couldn't optimise for value because it's "not connected to conversion API" (r/Substack).
What should I never do?
- Import a CRM, a contacts list, purchased emails or scraped emails. Substack's guidelines prohibit it, and a marketer was warned: "Don't add the folks from your CRM to the list, lots will unsubscribe" (r/marketing).
- Use bots, robotic process automation or hosted browsers that sign in as you to type emails in. That conflicts with the Terms of Use on account sharing and automated processes, and it sidesteps the review that protects your sender reputation.
- Split a denied list into small batches to slip past review.
- Re-add people who unsubscribed.
Is there a tool that does this for me?
newsletterapi's website embeds and signup widgets send readers to Substack's own subscribe flow and record your consent text. Its import converter cleans and de-duplicates lists before you upload. Neither adds anyone to your list for you, and neither asks for your Substack login. To get access, email hello@newsletterapi.io.
Questions people ask
- Why is my Substack import under review?
- Substack's risk checks flagged the list as possibly containing people who didn't opt in. Its Standards & Enforcement team aims to review within 72 hours. Answering the optional questions about where readers opted in, including a URL, improves the odds of approval.
- What do I do if Substack denied my import?
- Substack suggests embedding a signup form off-platform so subscribers opt in themselves. You can also email your old list from the old tool and ask people to subscribe on Substack.
- Can I add someone who unsubscribed before?
- No. Substack shows 'No valid emails found. This could be because an email previously unsubscribed'. That reader has to re-subscribe themselves from your publication.
- Can I connect Facebook lead ads or a website form to Substack automatically?
- Not with an official API or Zapier app as of October 2026. The safe pattern is to send people to your Substack /subscribe page or embed form, so they subscribe themselves.
- Is there a limit on import size?
- Substack says there is no limit if everyone opted in, but very large lists go through a verification review. Splitting a huge list into several CSV files speeds up uploads.
